Getting Started

The inaugural conference of the Open Scholarship Initiative (OSI2016) will be held in Fairfax, Virginia, from April 19-22, 2016. The conference will open with a reception at the Hyatt Fairfax at Fair Lakes on the evening of Tuesday the 19th. Working groups will meet on the campus of George Mason University on Wednesday and Thursday, and the conference  wraps up on Friday the 22nd, with final presentations and discussions at the Hyatt until 2 p.m. Additional program details are described in this website.

It is important that participants plan to stay for the entire Wednesday, Thursday, and Friday portions of this event (a select few at-large delegates will have more flexibility to come and go).

Official registration

By agreeing to participate in OSI2016, you are already registered. If you change your mind or need to assign an alternate, please let us know (by emailing info@osintiative.org) by no later than October 15.

Conference fee

Conference registration fees are important to help ensure an adequate budget for this event. If you have received approval to have your registration fee waived, there is no need to go through this step. For everyone else, in order to pay your conference registration fee, please click on the button below (which will take you to the OSI2016 registration page) and scroll down to the green box.

  • Payments are processed through PayPal. Note that the payee is the National Science Communication Institute (the coordinating body for this event), abbreviated as NATIONALSCI on your credit card statement.
  • To pay by check instead, please mail your payment to the National Science Communication Institute, 2320 N 137th Street, Seattle WA 98133, USA. Checks should be made payable to the National Science Communication Institute (or nSCI).
  • If you have received approval to have your fee reduced (as is the case with some organizations sending more than one delegate), simply select the correct fee from the drop-down menu.

If you are paying a registration fee, please do so by December 1.

Hotel registration

All delegates are encouraged to stay at the conference hotel, the Hyatt Fairfax at Fair Lakes. Rooms are being made available at government rates. The opening night reception begins at the Hyatt on Tuesday the 19th at 6 p.m., the closing meeting ends at the hotel at 2 p.m. on Friday the 22nd, and chartered bus service to and from George Mason University will be available from the hotel. Note that the Hyatt has blocked extra days on either side of the conference for delegates who would like to arrive sooner or stay later.

If you will be staying at the Hyatt, please make your hotel reservation by no later than December 1st so we can release any rooms that aren’t needed.

Travel arrangements

Delegates are responsible for booking their own travel arrangements. Two airports serve the immediate vicinity: Reagan and Dulles (BWI is also an option if you don’t mind the extra-long commute). Delegates are encouraged to arrive in time for the opening night reception on Tuesday the 19th at 6 p.m., and to depart no sooner than 5 p.m. on Friday the 22nd. Travel time between the Hyatt and local airports is about 45 minutes.

For now, delegates are also responsible for arranging their ground transportation from the airport to the Hyatt. Depending on how many delegates stay at the hotel, however, transportation to and from the airports may be arranged (we’ll have a better idea about the hotel booking numbers by January); otherwise, cab service is easily available. Note that the Hyatt does provide complementary shuttle service to and from the nearest metro station, which then connects to Reagan (not Dulles yet). If you plan to rent a car, the hotel offers free parking to guests.

For delegates staying at the Hyatt Fair Lakes, daily transportation to and from the hotel and George Mason University will be provided. For delegates who are not staying at the hotel but will be driving to and from the conference every day, George Mason University may be offering complementary or discounted parking (more details will be provided later).

Meals

All meals will be provided—breakfast, morning snack, lunch, afternoon snack, and dinner. The hotel, hotel vicinity, and George Mason University campus also have many additional dining options.
